How to Fix Kyocera Printer Offline Error

A Kyocera printer showing offline usually means the computer has lost communication with the device — either through a dropped network connection, a stalled print queue, or a driver issue.

Step 1: Check the Printer Hardware

  • Confirm the printer is powered on — the control panel should be lit and show a ready status
  • Check the network cable is plugged in (for wired connections) or that the Wi-Fi indicator is solid (for wireless)
  • Restart the printer: power it off, wait 30 seconds, power it back on

Step 2: Set Printer Online in Windows

  1. Go to Control Panel > Devices and Printers
  2. Right-click your Kyocera printer
  3. Click See what's printing
  4. In the menu bar click Printer — if Use Printer Offline is checked, click it to uncheck it
  5. Try printing again

Step 3: Clear Stuck Print Jobs

  1. Open Control Panel > Devices and Printers
  2. Double-click the Kyocera printer to open the queue
  3. Click Printer > Cancel All Documents
  4. Restart the Print Spooler: press Windows + R, type services.msc, find Print Spooler, right-click and select Restart

Step 4: Check the Network Connection

Kyocera printers are almost always network-connected. Verify:

  1. On the printer, press Menu or the home button
  2. Navigate to Network or Report and print a Network Status Page
  3. Note the IP address shown on the page
  4. On your computer, open a browser and type that IP address — the printer's Command Center (web interface) should open
  5. If the page does not load, the printer has dropped off the network — reconnect it (see the WiFi setup guide)

Step 5: Remove and Re-add the Printer

  1. Open Control Panel > Devices and Printers
  2. Right-click the Kyocera printer and select Remove device
  3. Click Add a printer and choose Add a network, wireless, or Bluetooth printer
  4. Enter the printer's IP address when prompted
  5. Select the Kyocera driver from the list or install from the downloaded driver package

Step 6: Mac — Remove and Readd

  1. System Settings > Printers & Scanners
  2. Select the Kyocera printer and click to remove
  3. Click + and add the printer by IP address
