How to Set Up Fax on a Panasonic KX Printer

Panasonic KX multifunction printers include a built-in fax machine. Setting up fax requires connecting a phone line and configuring a few settings on the printer.
What You Need
- An active telephone line (analog landline or VoIP line with analog adapter)
- A phone cable (RJ-11)
- The Panasonic KX printer powered on
Step 1: Connect the Phone Line
- Locate the LINE port on the back of the Panasonic KX printer (labeled LINE or TEL LINE)
- Plug one end of the phone cable into the LINE port
- Plug the other end into the telephone wall jack
If you also want to use a telephone handset on the same line, connect it to the TEL or EXT port on the printer.
Step 2: Set the Date and Time
Fax transmissions include a timestamp — set it correctly:
- Press Menu on the printer
- Navigate to Initial Setup or Fax Settings > Date & Time
- Enter the current date and time using the keypad
- Press Set or OK to confirm
Step 3: Set Your Fax Header
The fax header identifies your transmission to recipients:
- Press Menu > Fax Settings > Fax Header (or Station ID)
- Enter your name or business name using the keypad (press number keys repeatedly to cycle through letters)
- Enter your fax number
- Press Set or OK
Step 4: Choose Answer Mode
Set how the printer answers incoming faxes:
- Press Menu > Fax Settings > Receive Mode
- Choose from:
- Fax Only — answers all calls as fax
- Tel/Fax — rings as a phone first, switches to fax if a fax tone is detected
- TAD (answering machine) — works with an external answering machine
- Manual — you must press Start/Fax to receive manually
Step 5: Send a Test Fax
- Place a document face-down on the flatbed or face-up in the ADF
- Dial the recipient's fax number using the keypad
- Press Start or Fax
PC-FAX Setup (Send Faxes from Your Computer)
- Install the Panasonic PC-FAX software from the support site
- In any Windows application, go to File > Print
- Select Panasonic KX as the printer and choose PC-FAX driver
- Enter the recipient's fax number and click Send
