Printer Offline on Windows 11 – How to Fix (All Brands)

Windows 11 changed how it manages printers — and introduced a few new causes for the offline status. Here's how to fix it regardless of your printer brand.
Why Printers Go Offline in Windows 11
- IP address changed — after a router restart, the printer gets a new IP but Windows still points to the old one
- Print spooler stalled — a stuck print job blocks all new jobs
- Driver compatibility — Windows 11 sometimes needs updated drivers
- Use Printer Offline setting — accidentally enabled
Fix 1: Check the Offline Setting
- Open Settings > Bluetooth & devices > Printers & scanners
- Click your printer
- Click Open print queue
- In the queue window, click Printer in the menu bar — if Use Printer Offline is checked, uncheck it
Fix 2: Clear the Print Queue and Restart Spooler
- In the print queue, right-click any pending job and select Cancel
- Press Windows + R, type
services.msc, press Enter - Scroll to Print Spooler, right-click > Restart
- Try printing again
Fix 3: Remove and Re-add the Printer
Windows 11 makes this straightforward:
- Settings > Bluetooth & devices > Printers & scanners
- Click your printer > Remove
- Click Add device — Windows 11 will scan and detect the printer automatically
- If the printer uses a static IP, click Add manually and enter the IP
Fix 4: Update the Driver
Windows 11 may have replaced your printer driver with a generic one during an OS update:
- Settings > Windows Update > Advanced options > Optional updates
- Check if a driver update is listed for your printer — if so, install it
- Or download the latest driver directly from your printer manufacturer's support site
Fix 5: Check Windows 11's Default Printer Setting
Windows 11 has a "let Windows manage my default printer" setting that can confuse multi-printer setups:
- Settings > Bluetooth & devices > Printers & scanners
- Scroll down and check Let Windows manage my default printer — try toggling this off and manually setting your preferred printer as default
Fix 6: Verify the Printer's IP Address
For network printers:
- Print a configuration/network page from the printer (the button sequence varies by brand — check your model's manual)
- Note the IP address
- Open your printer's port settings: Control Panel > Devices and Printers > right-click printer > Printer properties > Ports > Configure Port
- Update the IP if it has changed
