How to Fix Ricoh Printer Showing Offline

A Ricoh printer appearing offline means the computer cannot reach it — usually due to a network change, stale IP address, or a print spooler issue.
Step 1: Verify the Printer's Network Status
On the Ricoh printer:
- Press the User Tools or Menu button
- Navigate to Network Settings > Print Configuration Page (or System Settings > Print List)
- Print the configuration page — it shows the current IP address, MAC address, and network status
If the IP address shown ends in .0.0 or is missing entirely, the printer has lost its network connection.
Step 2: Check Windows Printer Status
- Open Control Panel > Devices and Printers
- Right-click your Ricoh printer
- Click See what's printing
- In the menu bar, click Printer — if Use Printer Offline is checked, uncheck it
Step 3: Clear the Print Queue and Restart Spooler
- Open the print queue (Control Panel > Devices and Printers > double-click Ricoh printer)
- Cancel all documents: Printer > Cancel All Documents
- Press Windows + R, type
services.msc, press Enter - Find Print Spooler, right-click and choose Restart
- Try printing again
Step 4: Remove and Re-add the Printer with Correct IP
If the printer's IP address has changed (e.g., after a router restart):
- Print the configuration page to find the new IP address
- Open Control Panel > Devices and Printers
- Right-click the Ricoh printer and select Printer properties > Ports tab
- Select the current port and click Configure Port
- Update the Printer Name or IP Address to match the new IP
- Click OK
Alternatively, remove the printer entirely and re-add it using the new IP:
- Right-click > Remove device
- Add a printer > The printer I want isn't listed
- Select Add a printer using a TCP/IP address and enter the IP
Step 5: Reconnect the Printer to Wi-Fi (Wireless Models)
If the printer dropped from the wireless network:
- On the printer: User Tools > Network Settings > Wireless LAN
- Select your network and re-enter the Wi-Fi password
