How to Install Toner in a Xerox Printer

Installing a new toner cartridge in a Xerox printer takes under five minutes. The process is similar across WorkCentre, Phaser, and VersaLink models.
Step 1: Check the Toner Warning
Xerox printers display toner status on the touchscreen:
- Toner Low — replacement recommended; you have prints remaining
- Replace Toner Now — printing has stopped; replacement required
The touchscreen also shows which color is low on color models (black, cyan, magenta, yellow).
Step 2: Identify the Correct Toner Cartridge
Find your toner part number:
- On the printer touchscreen: Device > Supplies > Toner
- On the label inside the front or side cover
- In your printer's user guide
Common Xerox toner series:
- 106R02xxx — Phaser and WorkCentre mono toner
- 106R03xxx — VersaLink and WorkCentre color toner
- 006R0xxxx — older WorkCentre models
Step 3: Open the Printer
Front-access models (Phaser, most WorkCentre):
- Press or pull the front cover release — the door swings open
Side-access models (some WorkCentre MFPs):
- Open the side or front panel — refer to the label on the printer showing cartridge locations
VersaLink models:
- Open the front door — toner cartridges are color-coded and slot individually
Step 4: Remove the Empty Cartridge
- Locate the empty toner cartridge — the touchscreen shows which slot needs replacing
- For mono printers: pull the cartridge straight out by its handle
- For color printers: turn the colored knob or tab counterclockwise, then pull out
Step 5: Install the New Cartridge
- Remove the new cartridge from the box and bag
- Shake gently 5–6 times from side to side to distribute toner evenly
- Remove the orange protective seal or cap from the cartridge
- For color printers: match the cartridge color to the colored label on the slot
- Slide the cartridge in along the guide rails until it locks — you will feel or hear a click
- For models with a lock knob: turn clockwise to lock
Step 6: Close the Printer and Confirm
- Close the front or side door firmly
- The printer will initialize — the ready light comes on within 30–60 seconds
- The touchscreen should show the new toner level as full
Troubleshooting
Toner still showing empty after install: Remove the cartridge and reinstall — ensure it is fully seated. Power cycle the printer.
Print quality issues after install: The first few pages after toner replacement may show slight variation — print 3–5 test pages.
